One of the IMCS owners and/or guides will be in the office Monday through Friday from 8:30 am to 5pm to answer questions and book reservations. On weekends during the summer season, the office is staffed in the morning and late afternoons. We are staffed seven days a week during the peak winter season. If you need to register for a weekend date please give us at least two weeks notice. Many weekend dates in January, February, March, July and August fill quickly so may require four to six week prior notice to secure a guide. Early reservations help guarantee the course, your spot on it, and help us offer you the best experience possible.
Deposits & Payments  
A $100 deposit is required for all courses or climbs
A $700 deposit and completed application form are required for international climbing expeditions. Balance is due 60 days prior to departure. No refund of deposit will be given for cancellations made 30 days or less prior to departure.
Courses and clinics offered during our Women's Rock Day and
Mt. Washington Valley Ice Fest
events require payment in full at the time
of registration.
The balance will be due at the start of the course or day of instruction. Payment may be made by credit card (VISA, MasterCard, American Express, check, or cash).
 
Cancellation & Refund Policy  
If you must cancel your reservation for any reason we will need a minimum of one week's notice. All cancellations prior to one week will be subject to a $50.00 administraton fee.
If cancellation is made less than one week before the course we will apply the deposit as credit towards a course at a later time.
No refunds or credits will be given to "no shows" and you will be charged for a full day of climbing.
There is a full refund for weather related cancellations determined by IMCS.
 
Personal Gear  
For rock climbing programs you will be responsible for providing a day pack, water bottle, food for the day, appropriate clothing, footwear (no sandals please), and personal accessories. Personal accessories may include hat, sunglasses, SPF 25 sunscreen, bug repellent, bandana and camera. If you have questions about what appropriate clothing for your climb please call us. If you need some gear you can purchase it in the IME retail store for a 10% discount. Let us know if you need anything. IME also has a well stocked consignment shop where you can find great deals on used clothing and gear.
For ice climbing and winter mountaineering programs you will need to provide a backpack, appropriate clothing, food, water and personal accessories. A thermos of tea, cocoa, coffee is recommended. Do not forget goggles and gaiters. Personal accessories include sunglasses, SPF 25 sunscreen, bandana and camera. A small first aid kit of moleskin, handwarmers and band-aids is recommended. Please use the winter gear list to help you prepare for your course or climb. For overnight programs you will need to provide a backpack and sleeping pad besides your personal accessories kit.
Rental Gear  
Be aware that IMCS does have a gear and clothing rental program for climbers taking our courses. We rent trekking poles, backpacks and various items of winter clothing. The intent is to make sure you have the gear you need to make your program as successful as possible. If you need something let us know so we can make sure the items will be available for your climb. Group Gear  
For rock climbing programs IMCS will provide helmet, harness, rock shoes, ropes, medical kit and all other technical gear necessary for the days instruction. You may use your own gear as long as it is in good shape. We reserve the right to disallow use of personal gear if it is unsafe for its intended use.
In the winter we provide boots, crampons, ice axe(s), harness, helmet, ropes, snowshoes, medical kit and snow & ice protection. For overnight trips we provide tents, sleeping bags, stoves, food, fuel, and camping fees.
 
Course Pricing  
IMCS course and trip prices are set on a full basis. If a course or trip does not fill we may cancel the program. We will contact you well ahead of time and give you the option of paying the private rate so that the course or trip will run on the scheduled dates. You will also have the option of transferring your reservation to another date that has the requisite number of participants. Please make sure you understand clearly what the price of your course or guided climb will cost.
 
When and Where  
Unless otherwise scheduled or agreed upon beforehand, all courses and guided climbs meet at the IME retail store at the north end of North Conway Village. Starting time in the winter is 8:00am while in the summer we start at 8:30am. Please discuss starting time for your program with us as sometimes there may be a good reason to start earlier or later. If you need to start at a certain time let us know that too as we can easily accomodate your schedule.
Some amount of time will be spent with introductions, discussion of plans for the day, gear check, gear fitting, and signing of a liability release form. Make the most of your day by being prepared for the day's activities. We encourage clients to provide transportation. Please let us know if you will be without a vehicle for the day so we may plan accordingly.
 
Medical Care  
All clients currently taking medication, having prior medical conditions, problematic old injuries or recent surgeries must make them known to the guide. In this way we may provide the safest and most enjoyable experience possible. The guide has the right to disqualify anyone at any time from activities, if he/she has reason to believe that the person is not capable of participating in the activity safely. Your safety is our primary concern.
